Google Business Profile management for small businesses
This guide is for owners who run their own Google listing, or who want to know what someone else should be doing with it. It goes through the profile in roughly the order customers see it.
Managing a Google Business Profile means keeping the listing that appears in Google Search and Maps accurate and complete. Claim and verify it, use your real business name, choose the most specific category, and keep regular and holiday hours current. Then add photos and your menu or services, and reply to reviews. Google says complete, accurate profiles are more likely to show in local results, and that you cannot pay for a better local ranking.
Claim and verify the listing first
Search for your business name on Google Maps. If a listing shows up, look for the option to claim it and follow the steps. If nothing shows up, add a new one.
Google then asks you to verify. Depending on the business, that may be by phone, text, email or a short video. Until verification is done, many of your edits will not appear publicly.
- Sign in with an account the business controls, not a staff member's personal email.
- If someone else already owns the profile, request ownership through Google instead of creating a second listing.
- Add managers so staff can help without handing over ownership.
Name, category and hours
Your name should be the one on your sign and receipts. "Rosa's Bakery" is fine. "Rosa's Bakery Best Sourdough Downtown" breaks Google's guidelines and can get the profile suspended.
For the category, Google's test is whether it completes the sentence "This business is a...". Pick the most specific primary category, such as "Thai restaurant" rather than "Restaurant", and add as few extra ones as you can.
Enter regular hours, then special hours for holidays and one-off closures. Set them a week or two ahead. Customers who arrive at a locked door tend to mention it in a review.
The details customers actually tap
Past the basics, the profile has fields that answer the questions people would otherwise phone about.
- Attributes such as wheelchair access, outdoor seating, Wi-Fi, payment options or appointments required
- Menu or services, with prices where you can give them
- Booking, ordering or appointment links
- A description with plain facts about what you offer; Google does not allow links or promotions in this field
- A phone number and website that match the ones on your own site
Photos that do some work
Upload the storefront as seen from the street, the inside, and your main products or dishes. For a restaurant, a sharp photo of the current menu board is one of the most useful things you can post.
Take old photos down when something changes, like a new layout or a dish you no longer make. Customers can add photos too, so look through those every month or so.
How often to check
Look at the profile at least once a month, and any time something changes in the shop. Google can also change details based on suggestions from users or other sources, and you may get a notice asking you to review them.
Posts are optional. They are a simple way to show the listing is looked after: a new seasonal dish, a closure for a staff training day, a market stall you are running on Saturday.
What gets profiles suspended
Most suspensions come from a short list of edits. If it happens, fix the cause first, then appeal through Google Business Profile Help.
- Keywords, locations or slogans added to the business name
- A second listing for the same location
- A home address shown for a business that serves customers at their place (use a service area instead)
- Discounts or freebies offered in exchange for reviews

FAQ
Is Google Business Profile free?
Yes. Creating and managing a profile costs nothing, and Google says there is no way to pay for a better local ranking. Google Ads can show your business as an ad, but that is separate from the free listing.
Why are my edits not showing up?
Google checks some edits before publishing them, which can take a few days. Edits can also be held if the profile is not verified or if the change conflicts with other information Google has. Wait a few days, then look for a notice in your account.
Can I put my city or main service in the business name?
Only if it is part of your real name as shown on your sign. Otherwise, put it in the category, services and description instead.
Should an agency own my profile?
Keep ownership yourself and give the agency manager access. That way you can remove their access at any time without losing the listing.
What does KAEWOO's free checkup look at?
You sign up and enter your shop's name or Google Maps link. KAEWOO reads your Google Business Profile, including hours, photos, owner updates and a recent sample of reviews with your replies. It checks where you appear on Google Maps for your category at a grid of points around you, compares you with top nearby competitors, and gives a score out of 100 with an action plan in priority order.
